OFFICE MANAGER

Job Description

Summary

We are seeking a detail-minded individual to manage administrative systems and provide comprehensive operational support. The ideal candidate brings strong organizational skills, attention to detail, and excels at handling multiple priorities in a dynamic arts environment. This role is essential for supporting the Executive Director and gallery operations through efficient administrative processes and program coordination.

Key Responsibilities

  • Manage administrative operations and office systems

  • Coordinate staff calendars and appointments

  • Process financial documents and track invoices

  • Maintain donor database, records and communications

  • Engage with diverse gallery constituents through various communication platforms

  • Coordinate exhibition logistics, events, and facility rentals

  • Provide administrative support for programs and events

  • Manage gallery shop operations and website updates

  • Coordinate volunteer program and support marketing initiatives

  • Manage front desk operations and general communications

  • Assist with additional projects as needed

Qualifications

  • 2+ years administrative experience

  • Strong database management and reporting skills

  • Proficiency in Google Workspace and Microsoft Office platforms

  • Excellent organizational and communication abilities

  • Ability to handle multiple priorities in a dynamic arts environment

  • Shows genuine interest in the work

  • Must work in person at Lynchburg location

  • Valid driver's license and working vehicle required

  • Bachelor's degree preferred

  • Nonprofit experience a plus
